For centuries, our Armed Forces have managed an in-house postal service, delivering mail across our military history including both World Wars. The BFPO is dedicated to providing postal and courier services to the UK Armed Forces, Ministry of Defence (MOD) and Other Government Depts (OGDs) and is a renowned brand across Defence. Approximately 250 dedicated, hard-working civilian and military staff work collaboratively across 11 sites in the UK to deliver personal, official and classified mail to over 650 locations across the globe; keeping our Armed Forces, MOD and OGDs connected through a range of services that play a vital role in sustaining morale and operational effectiveness.
The Defence Courier Service (DCS) is responsible for the safe and secure movement of Protectively Marked Material (PMM) across the UK and worldwide.
The role provides clerical and administrative support, ensuring all PMM is moved as required under the correct diplomatic process which is covered under the Vienna Convention. Day to day, you will be required to operate and contribute to a small but busy team which plans both road moves in the UK or overseas collection and distribution of PMM in accordance with customs and security policies.
The majority of BFPO’s mixed civilian and military staff are based at our purpose-built headquarters at RAF Northolt in Ruislip, West London. BFPO forms an integral part of the Defence Equipment and Support within the Land Domain.
Responsibilities
Working within DCS, we are looking for a dynamic, self-motivated, hard-working and organised individual who can work in a customer-focused environment and to tight timescales, while remaining positive and focused on delivery.
Your main responsibilities are as follows:
- Amendment of monthly duties for scheduled and operational courier tasks, outlining all planned Defence Courier (DC) commitments, booking appropriate flights and other transport.
- Establishing Tasks Outside Routine Courier Schedule, these being courier tasks in addition to normal scheduled commitments, which necessitate the deployment of a DC worldwide.
- Maintaining accurate records of all flights booked, flight costs and collation and filing of associated records.
- Answering telephone and written queries on all Air Service Schedules and Road Service Schedules movement of PMM.
- Process applications for visas required for DCs to undertake duties overseas, including NATO Travel Orders for military DCs.
- Production, on a daily basis, of Task Sheets and supporting documentation.
- Acting as leave relief for other Operations personnel, complete tasks as instructed in support of the conveyance of items and mail. Maintaining personal training and development programme via HRMS, while being aware of current issues and customer focus.
As an Ops Clerk, you will be required to work 7.4 hours per day between 06:00 - 18:00 hours, Monday to Friday, though some additional hours or flexible working may be required. Exact duty timings will be discussed at interview.

Please note that, due to security requirements, this post is reserved for sole UK nationals. The successful candidate must be willing and able to go through DV (Developed Vetting) clearance in-role after the 6 months probation period. Failure to secure DV will require the individual to transfer to a SC appt.
What you will be assessed against
To be found successful you must demonstrate the following essential criteria:
• Proven experience and ability with Microsoft 365 applications, focus on Excel and SharePoint (or similar cloud-based storage solutions, Google Drive etc).
• Proven ability to work within a team.
• Proven effective communication skills both verbal and written.
• Minimum GCSE grade C/5 (or equivalent) in Maths and English OR relevant experience within the logistics/ transport sector.
It would benefit your application should be able to demonstrate the following desirable criteria:
• Previous experience within, or clear understanding of, the logistic/transport sector.
• Previous experience of delivering training to external audiences.

The Integrated Logistics (iLog) Function is the integrating Function for Support within DE&S, responsible for the development, management and delivery of in-service support for our front-line command customers. The iLog Function consists of around 2,900 personnel, both civil servants and military, and with a wide range of disciplines ranging from operations management and supply chain management, technical through-life support and logistics delivery, to modelling and analysis.
